For years, CDB employees struggled with an outdated, confusing intranet. Accessing internal policies, forms, and communications was frustrating and time-consuming, leading to widespread disengagement.
Support tickets surged as the IT team faced ongoing complaints about broken search tools and clunky content management further exposing the platform’s failure to meet employee needs.
My Role
I led the end-to-end design process for the intranet redesign, collaborating with key stakeholders across departments to create a system that was easier to use, manage, and better connected to how employees worked.
Despite having no prior SharePoint experience, I quickly immersed myself in understanding its structure and constraints, laying the groundwork for a design that leveraged its native capabilities.
Highlights:
Led early discovery efforts, including stakeholder interviews and user surveys, to uncover employee pain points and intranet expectations.
Synthesized research findings into actionable insights that directly informed information architecture and design priorities.
Designed and prototyped key workflows, refining navigation, content structure, and task flows based on iterative feedback sessions.
Delivered high-fidelity designs and detailed documentation, collaborating with developers to ensure smooth implementation in SharePoint.
Research & Insights
We grounded the project in user research to ensure the redesign addressed real employee challenges.
Interviews with 12 key stakeholders to identify critical requirements.
Surveys distributed to over 200 employees across various departments.
A technical audit of SharePoint’s out-of-the-box functionality to guide feasible UX solutions.
Among the findings, employees wanted:
A centralized hub for easy access to resources and company-wide updates.
A powerful search function to quickly locate documents and policies.
The experience needed to feel intuitive, inviting, and relevant to users’ daily tasks.
Social and informal spaces to foster a sense of community within the institution.
Design & Testing
Guided by the Microsoft Fluent UI system, we built prototypes that reimagined the intranet’s structure while respecting platform constraints.
We focused first on validating early ideas through A/B testing, particularly around the homepage experience, which provided valuable guidance on real user behaviors.
Key design improvements included:
A redesigned homepage centered on access to key tools, announcements, and quick links.
A unified document hub that replaced scattered content silos.
Team-specific spaces tailored for departmental tools, dashboards, and reports.
Social Village, a new space for celebrating milestones and encouraging informal interaction.
We validated design decisions through A/B tests and task-based usability sessions, confirming that employees could complete key actions faster and with greater ease.
Solution
We redesigned the intranet to feel modern, mobile-friendly, and on-brand. It simplifies resource access, improves communication flow, and builds a stronger internal culture.
Results & Impact
Within six months of launch:
30% increase in engagement, with daily active use trending upward.
50% reduction in turnaround time for collaborative document sharing.
Noticeable drop in IT support tickets, as navigation became easier to follow and key resources were made quicker to access.
Retrospective
Instead of working around constraints, I leaned into them without compromising the user experience.
This project sharpened my ability to adapt quickly, and drive meaningful change in a high-stakes internal environment. It also expanded my skillset, giving me confidence to design effectively within the SharePoint ecosystem.
